From receiving a report to closing the case: A practical guide for the responsible person

The workshop will guide the person responsible through the entire process of handling a report, from the moment it is received through its initial assessment, investigation, evaluation, and final closure. The focus will be on the individual steps involved, what needs to be done at each stage, what to look out for, and what documentation should be maintained.

  • Participants will work through the practical aspects of receiving and initially assessing a report, including checking its requirements, determining the appropriate next steps, and planning the investigation process. The workshop will also cover documentation – what should be recorded, how individual actions and findings should be documented, and how to ensure that the entire process is transparent and can be properly demonstrated and reviewed.
  • Particular attention will be paid to communication with the reporting person. We will look at how to communicate throughout the different stages of the process, what information should be shared with the reporting person, how to manage expectations, and how to comply with legal and internal requirements regarding confidentiality and the protection of the persons involved.
  • The workshop will also address the most common mistakes and risks that arise in practice when handling reports – from an incorrect initial assessment and insufficient documentation to inappropriate communication or an inadequate approach to closing the case.

The aim is for participants to leave with a practical and usable framework that will help them handle reports in a way that is legally compliant, consistent, clear, and trustworthy for all parties involved.
